Compliance & Ethics

We've got to run conflict checks, verify identities (anti-money laundering requirements), comply with Law Society regulations, and respond to lawful requests from courts or regulators when necessary.

Improving Our Services

Website analytics help us understand what content is useful, which practice areas are in demand, and where we can improve the user experience. All done with aggregated, anonymized data.

Data Sharing

Who might see your information

We're not selling your data to advertisers or anything sketchy like that. But there are some limited situations where we might share information:

If you ask us to share info with third parties - like co-counsel, expert witnesses, or your accountant - we'll do that. But we'll always check with you first unless it's clearly part of what you've hired us to do.

We work with carefully vetted service providers for things like cloud storage, document management, billing systems, and IT support. They're all bound by strict confidentiality agreements and only access data they absolutely need to do their job.

Sometimes the law requires us to disclose information - court orders, subpoenas, regulatory investigations, that sort of thing. We'll resist improper requests, but yeah, we've got to comply with valid legal process. We'll notify you when we can, unless we're prohibited from doing so.

We might need to disclose info to our professional liability insurers or in response to Law Society audits or complaints. This is part of maintaining our license to practice. Don't worry though - these folks are also bound by strict confidentiality rules.

Important: We'll never sell, rent, or trade your personal information for marketing purposes. Period.

What you can do with your data

Under PIPEDA and Canadian privacy laws, you've got rights. Here's what you can do:

Access Your Information

You can ask to see what personal info we have about you. We'll provide it within 30 days, subject to some legal exceptions (like solicitor-client privilege). There might be a small fee if it's an extensive request.

Correct Inaccuracies

Spot an error? Let us know and we'll fix it. We'll also update any third parties we've shared that info with, if it's practical to do so.

Withdraw Consent

Changed your mind about something? You can withdraw consent for things like marketing emails anytime. Just know that we might still need to keep some info for legal or professional reasons even after you withdraw consent for certain uses.

Challenge Our Practices

Think we're not handling your data properly? You can file a complaint with us first. If you're not happy with our response, you can escalate to the Office of the Privacy Commissioner of Canada.

Request Deletion

In some cases, you can ask us to delete your info. But heads up - as a law firm, we've got professional obligations to keep client files for a certain period. We'll delete what we can, when we can.

What's happening behind the scenes

Yeah, we use cookies - those little files that websites leave on your device. Not the edible kind, unfortunately. Here's the breakdown:

Data Retention

How long we keep your info

We don't keep stuff forever, but we can't just hit delete the day after we finish working with you either. Here's how long we typically hang onto different types of information:

Client Files

We keep complete client files for at least 10 years after the matter closes. That's the minimum requirement from the Law Society. Some files might be kept longer depending on the type of work and potential future relevance.

Financial Records

Billing records, trust account info, and financial documents are kept for 7 years minimum. Tax law and accounting regulations require this, and honestly it's just good practice.

Communications

Emails and correspondence related to active matters are kept as part of the client file. General inquiries from non-clients are typically kept for 2 years unless there's a reason to keep them longer.

Website Data

Analytics data is typically aggregated and anonymized within a few months. Cookies expire based on their type - anywhere from end of session to 2 years for analytics cookies.

Why so long? As lawyers, we're dealing with important documents that might be needed years down the road. Think litigation, audits, regulatory inquiries, or just answering questions about past work. Plus, professional regulations require us to maintain these records.

Once the retention period is up and there's no legal reason to keep the info, we securely delete or destroy it.
